Privacy Policy — Carbonix

This policy explains which personal data we process when you use Carbonix, why, who we share it with, how long we keep it and how to exercise your rights.

1. Who we are

Carbonix is published by Ets Expertise Web Marketing, a business registered with the Trade and Personal Property Credit Register (RCCM) of Benin under number RB/ABC/19 A 13206 of 3 May 2019, tax identification number (IFU) 0201910761086, with its registered office at Maison MOUSTAPHA, Tankpè district, Abomey-Calavi, Benin ("Carbonix", "we").

2. What this policy covers

• the carbonix.me website;
• the app.carbonix.me portal;
• the Carbonix BTP (btp.carbonix.me), Carbonix Bio (bio.carbonix.me) and Carbonix PGES (pges.carbonix.me) modules;
• the accounts.carbonix.me sign-in service;
• the Carbonix apps for Android, iPhone and iPad, Windows and macOS.

A single Carbonix account gives access to all of these services.

3. The data we process

Your Carbonix account

• Name, email address, preferred language.
• Password, stored only in encrypted form: nobody can read it, not even us.
• Two-factor authentication factors if you enable them (authenticator app, security key).
• If you choose "Sign in with Google": the name, email address and identifier that Google sends us.

Sessions and devices

• For each sign-in: a session identifier, the type of browser or app and the operating system, the date of last activity. This is what "My devices" shows.
• IP address, requested page and browser, in the server's technical logs (security, diagnostics).

Your preferences

Theme, language, module settings, drafts of forms not yet sent, last project opened. They are saved to your account so they follow you from one device to another.

The data you enter in the modules

• BTP: organisation, projects, activity quantities (fuels, energy, materials, transport…), custom emission factors, reports.
• Bio: projects, stratification units, inventoried trees (species, measurements, GPS coordinates if you enter them).
• PGES: organisation, team members and their roles, ESMPs, measures, indicators, data collections, declarations, messages and attachments (photos, documents).

This data belongs to you. We process it only to provide the service. If it contains information about other people (team members, project beneficiaries, people visible in a photo), you are responsible for having collected it lawfully. For that data, we act as a processor on your behalf.

Subscription and billing

• Chosen plan, subscription history, invoices (name, email, amounts, period).
• Card payment: handled by Stripe. We never see your full card number, only its brand and last 4 digits.
• Mobile Money payment: handled by FedaPay, which receives your phone number. We only keep the transaction reference.

Your exchanges with us

Contact and quote requests (name, email, company, message). Service emails: billing, security, account deletion confirmation.

Audience measurement and advertising (BTP website only)

On btp.carbonix.me opened in a browser, and only if you accept it in the banner shown for this purpose, we use Google Analytics (traffic) and the Meta pixel (measuring our campaigns on Facebook and Instagram). Without your consent, these tools are not loaded.

The Carbonix apps use none of these tools: no advertising tracking in the app.

4. Why we use your data

We never sell your data, and we do not use it for targeted advertising beyond measuring our own campaigns as described above.

5. Who we share it with

Only with the service providers needed to run the service, who only access the data required for their task:

In PGES, members of your organisation see the data shared within that organisation, according to the roles you give them.

We may also disclose data to authorities when the law requires us to.

6. Transfers outside your country

Some providers are located outside Benin or the European Union, in particular in the United States. These transfers are covered by the safeguards provided by law: the European Commission's standard contractual clauses, or the provider's certification under the EU–US Data Privacy Framework.

8. Your rights

At any time, you can:

• access your data and obtain a copy;
• correct your name or email: My account → Profile and security;
• erase your account and all your data: My account → Delete my account, from the portal, any module or the app. You can also follow the procedure at carbonix.me/en/suppression-compte, or write to us;
• retrieve your data in a reusable format: Excel, CSV or PDF exports from the modules, or on request;
• object to certain processing, or ask for it to be restricted;
• withdraw your consent to audience measurement, with no effect on the rest of the service.

To exercise these rights, write to contact@carbonix.me. We reply within 30 days.

You can also lodge a complaint with Benin's personal data protection authority (APDP), or with the authority of your country of residence (for example the CNIL in France).

9. Security

• Encrypted connections (HTTPS).
• Encrypted passwords.
• Optional two-factor authentication.
• Remote sign-out of any device ("My devices"): a signed-out device must enter the password again to come back.
• Daily backups.
• Server access limited to authorised people.

10. The Carbonix apps

The apps for Android, iPhone and iPad, Windows and macOS show the same services, with the same account and the same data. In addition:

• Notifications: if you allow them, we store a technical identifier of the device to send them to you. You can turn them off in My account or in your phone's settings.
• Camera, photos and files: used only when you choose to add an attachment.
• No advertising tracking. Subscriptions are not purchased in the app.

Carbonix is a professional service and is not intended for people under 16.

12. Cookies and storage on your device

Necessary cookies cannot be refused: without them, signing in does not work.

Measurement cookies (_ga, _fbp) are only set after you accept them in the "Accept / Decline" banner. Your choice is kept for 13 months. You can change it at any time with the "Cookies" link at the bottom of the Carbonix BTP pages.

13. Changes

We may update this policy. The date of the last update is shown at the top of the page. For any significant change, we notify you by email before it takes effect.
